Privacy Policy

1. Overview

Kindness Kits does not sell, trade, or rent your personal information. We collect only what we need to coordinate product donations, schedule volunteers, and manage partnership outreach, and we keep it only as long as those purposes (and the law) require. This policy explains what we collect, how we use it, who processes it for us, and the choices you have.

2. What we collect

• Forms. Our volunteer, product-donation, partnership, and distribution-host forms (hosted by Tally) collect your name, email address, phone number where relevant, organization details for partnership inquiries, and your consent choices. We record the exact consent text you agreed to, its version, and the time of submission.
• Monetary donations. Payments are processed by Pledge (pledge.to). Your card details go directly to Pledge — we never receive or store them. We may receive your name, email, and donation amount for records and thank-yous.
• Site analytics. We use Vercel Analytics and Speed Insights, which give us aggregate page-level statistics without advertising trackers or cross-site profiles.
• Embedded services. Embedded forms and the donation widget are loaded from Tally and Pledge, which may set their own cookies under their own privacy policies.

3. How we use your information

• coordinating product donation drop-offs and pickups;
• scheduling volunteers and running distributions;
• responding to partnership and hosting inquiries;
• sending the emails and text messages you have consented to receive (see section 4);
• keeping the records nonprofits are required to keep.

4. Email and text messages

We separate the practical messages that make a program work from promotional ones, and we ask for consent to each separately on our forms:

• Operational messages — volunteer shift reminders, scheduling changes, and event logistics. You consent to these when you sign up to volunteer; they are part of volunteering.
• Marketing messages — impact updates, events, and other ways to help. These are sent only if you tick the separate, optional marketing checkbox. Declining marketing never affects your ability to volunteer or donate.

You can opt out at any time: reply STOP to any text, use the unsubscribe link in any email, or email us at jaipal@kindness-kits.org to update your preferences. We retain a record of what you agreed to — the checkbox text, the form version, and the timestamp — as federal telecommunications rules require.

5. Who processes your information

We share personal information only with the service providers that run our operations, and only what each one needs:

• Tally — hosts our signup and donation forms;
• Klaviyo — delivers our email and text messages and stores subscription and consent state;
• Pledge — processes monetary donations;
• Vercel — hosts the Site and provides aggregate analytics;
• Sanity — manages the Site’s published content and holds no visitor data.

We never sell personal information, and we do not share it with anyone for their own advertising.

6. How long we keep it

We keep personal information as long as needed for the purpose you gave it to us — an active volunteer’s contact details, for example — plus any period the law requires. Consent records for text messaging are kept for at least four years, in line with federal guidance. You can request deletion at any time (section 7).

7. Your choices and rights

Email jaipal@kindness-kits.org to request access to, correction of, or deletion of your personal information, and we will respond promptly. We extend these choices to everyone, regardless of where you live. As a nonprofit, Kindness Kits is generally not subject to the California Consumer Privacy Act, but we aim to honor its spirit for California residents and everyone else.

8. Children

The Site is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, email jaipal@kindness-kits.org and we will delete it.

9. Security

The Site is served over HTTPS, we work with established providers, and access to personal information is limited to the people who need it to run our programs. No method of transmission or storage is completely secure, but we take care to use ours well.

10. Changes to this policy

When we update this policy, we will post the new version here with a revised effective date.
